Purpose

The Location Performance Report provides daily and cumulative utilization percentages, rental activity data, and revenue totals for a specified time period. It gives a detailed view of each location’s activity on a daily basis.

The report is divided into three sections. The Vehicle Information section provides data on revenue days, units in fleet, and utilization. The Contract Information section shows the number of reservations, contracts, and no-shows. The Revenue Information section lists miscellaneous charges and the revenue received.


Options

Separate/Consolidated Locations - The report can show each location in a separate section or combine all locations.
Print – You can run the report to show daily details, daily summary or class summary.
Separate/Consolidated Classes – The report can show each class in a separate section or combine all classes.
Calc. Utilization By – You can use either charged days or actual days in the utilization and the daily revenue calculations. If you use charged days, the Rev Days column is used to calculate utilization and the Closed Days column is used to calculate the daily average (Dly Avg column). If you use actual days, the OnRent column is used to calculate utilization and the Act Days column is used to calculate the daily average (Dly Avg column).


Buttons

Options – The Options button allows you to change the way the report calculates the values. Because this report scans through many records, it summarizes some data and stores those values in the database.

If you select "Calculate real-time", the report will use the contract records for its calculations, ignoring the summary records. If you select "Use saved calculations", the report will use only the summary records for its calculations. If a needed record is missing or has become out-of-date, an asterisk will appear on the far-left side of the appropriate report line. If the "Recalculate out-of-date records" box is checked, the report will recalculate the missing or out-of-date summary records using the contract records.

Note: These settings are also used by the Daily Location Summary Report. Changes to these settings will affect both reports.


Data Selection

Vehicle Information

  • Most of the columns in this section are calculated using the vehicle transaction records. Each vehicle’s fleet position (In Fleet, Out of Service, Unavailable) is determined by finding the transaction each day.
  • The revenue days column is based on the number of charged days per contract. See "Columns" below for more information on the calculation. The number of revenue days is used to calculate the utilization.

Contract Information

  • The fields in this section use the contract/reservation date out. Only the ‘Closed’ columns are different in that they go by the report date.

Revenue Information

  • The revenue columns are all calculated using the report date of each charge.


Columns

Vehicle Information

Day – Day of the month.

Rev Days – Each day a vehicle is on rent, a revenue day is added. If a vehicle is rented from the 5th to the 7th (two rental days), one revenue day is added to the 5th and 6th.

RevDysMTD – The month-to-date total of revenue days.

Units InFlt – The total number of units available. This includes any unit that is not out of service or unavailable. The status types Prep'd, Non prep'd, and On Rent are used in this column.

Units OnRent – The total number of units that are on-rent. The status type On Rent is used in this column. This column is a subset of the InFlt column; the number of vehicles on-rent is also included in the In-Fleet column.

Units O/S – The total number of units that are out of service. The status type Out of Service is used in this column.

Units Unavl – The total number of units that are unavailable. The status Unavailable is used in this column.

Days Avail – The total number of units that are in-fleet. This column is the addition of the Units Avail and Units O/S columns.

Dys Avl MTD – The month-to-date total of days available.

Util Today – Fleet utilization for the day. If the "Calc Utilization By" option is set to "Charged", this column is calculated by dividing the Rev Days by the Days Avail. If the option is set to "Actual", this column is calculated by dividing the Units OnRent by the Days Avail.

Util MTD – Fleet utilization month-to-date. If the "Calc Utilization By" option is set to "Charged", this column is calculated by dividing the running total of the Rev Days column by the running total of the Days Avail column. If the option is set to "Actual", this column is calculated by dividing the running total of Units OnRent by the running total of Days Avail.

Avg Days – The average number of available days so far. This is calculated by taking the running total of Days Avail and dividing it by the number of days.


Contract Information

Resvd Today – The number of reservations that are to go out on this day.

Resvd MTD – The month-to-date total of reservations.

Resvd AvgRate – The average daily rate of all reservations included in Resvd Today column.

Rented Today – The number of contracts that were opened on this day.

Rented MTD – The month-to-date total of opened contracts.

Rented AvgRate – The average daily rate of all contracts included in Rented Today column.

NoShow Today – The number of reservations that were changed to no-shows today.

NoShow Pct – The percentage of reservations that were changed to no-shows on this day. This column is calculated by taking the NoShow Today value and dividing it by the Resvd Today value.

NoShow MTD – The month-to-date total of no-shows.

NoShow Pct MTD – The month-to-date percentage of no-shows.

Closd Today – The number of contracts that were closed on this day.

Closd MTD – The month-to-date total of closed contracts.

Closd Days – The number of revenue days totaled for all contracts included in the Closd Today column. For example, if a vehicle is rented from the 5th to the 7th, two days are added into this column on the 7th.

Closd Dys MTD – The month-to-date total of closed days.

Act Days – The number of actual on-rent days totaled for all contracts included in the Closd Today column. This number is based on the physical number of days of the contract rather than the number of charged (revenue) days. For example, if the contract was for the 1st to the 5th, four actual days are added, regardless of the number of days that were charged.

Act Dys MTD – The month-to-date total of actual days.


Revenue Information

Each miscellaneous charge that is included in the report has two columns in this section. The first column is a daily total of the revenue for the charge. The second column is a month-to date total of the charge’s revenue.

There are eight other columns that also appear in this section:

Net T&M – The net time & mileage charges for the day. This includes time charges, mileage charges, and the T&M discounts are subtracted out.

MTD Net T&M – The month-to-date total of net T&M.

Revenue - The total revenue charges for the day. This includes net T&M and any miscellaneous charges that were selected.

MTD Revenue – The month-to-date total of revenue.

Dly Avg – The average revenue per rental day for today. If the "Calc. Utilization By" option is set to "Charged", this number is calculated by dividing the Revenue Today by the number of Closd Days. If the option is set to "Actual", this number is calculated by dividing the Revenue Today by the number of Act Days.

MTD Dly Avg – The average revenue per rental day for the month to-date. If the "Calc. Utilization By" option is set to "Charged", this number is calculated by dividing the MTD Revenue by the Closd Days MTD. If the option is set to "Actual", this number is calculated by dividing the MTD Revenue by the Act Days MTD.

Rev/Unit – The revenue per unit. This is calculated by dividing the Revenue by Avail Days (in the Vehicle Information section).

MTD Rev/Unit – The month-to-date revenue per unit. This is calculated by dividing the MTD Revenue by Dys Avl MTD (in the Vehicle Information section).
