SETTINGS > Fleet Setup


Purpose

Use this menu item to establish classes for products and categories. This is the lowest level of the fleet hierarchy. Be sure you have set up the previous levels, products and categories.


Fields

Product – Select the appropriate product name to assign to this class code.

Category – Select the appropriate category to assign to this class code.

Class – Enter a name for the specific class you are creating.

Description – A description of the class code. This field is used by Erez when listing the classes a user can choose from. If this field is blank, the class will not be listed.

Disclaimer – Brief notes about this class. When a user selects a class in Erez, the disclaimer will be shown.

Class Sequence – Enter a number from 1 – 99 in this field. This number represents the order that your categories will be displayed in lists. Leaving this field set to zero will display your categories in alphabetical order.

Inactive – If a class is no longer used, check this box. The class will be excluded from class lists.

Default Tank Size – Enter the default gas tank size to be used for vehicles entered in the system with this fleet class. If this field is left blank, you must enter a tank size when adding vehicles to your fleet.

Gallons – If the tank size is in gallons (not liters), check this box.

Image File – This field is used by e-rez2 to display vehicle images to users.

Notes – Notes about the vehicle class.

Check Availability in e-rez2 – If this box is checked, Erez will check this class’ availability before allowing a user to reserve a vehicle of this class.

Check Availability By – Erez can check availability by any level in the reporting setup.

Alternate/Upgrade Class - Enter these values by selecting classes from the drop down list. It is advisable to only do this after all vehicle classes have been entered. Selecting alternate classes in this section will allow the rental agent to view up to four possible upgrade alternatives during the rental or reservation process.

Min. Age Driver – Enter the minimum age requirement to rent this particular class of vehicles. When entering a renter’s birthday in the Customer Information screen, a message box will appear if the driver’s age is less than the value entered here.

Max. Age Driver - Enter the maximum age requirement to rent this particular class of vehicles to. When entering a renter’s birthday in the Customer Information screen, a message box will appear if the driver’s age is more than the value entered here.

Under Age Driver - Enter an age to automatically process an Under Age Charge. If the renter is younger than this age they will be charged an additional fee. This age must be greater than the minimum age if you charge a fee, but should be equal to minimum age if you do not charge a fee.

  • Note: If the Min/Max/Underage fields are left blank, RentWorks will use the Location record values. Values entered in this field will override values specified in the Location record for each particular class code.
