Purpose

The Rollover Processing report generates the booked revenue entries for contracts which have been marked as Rollovers.

The report is usually run monthly since billing will be done monthly, but actually can be run at any time. The user is prompted for a cutoff date. The program selects all long-term contracts with a Billed Through date (found on the Rollover Information screen in the counter programs) prior to the cutoff date. The number of days in the billing period is determined by the number of days in the rate line for the monthly rate. If there is no rate on the contract with a period of 28 days or more then the booked revenue entry will be created for 30 days at 30 times the daily rate.

A report will be printed showing all booked revenue entries. You also have the choice of printing A/R invoices, receipts (if the rental is being billed to a credit card) or not printing anything but the report. The report is mandatory. Booked revenue entries are viewed on the Rollover Information screen which is accessed from the Sale Information screen during Contract Processing.

Use this report to accommodate rentals lasting more than one month where there is a need to create an invoice (or receipt for credit card billing) and post both the revenue and payment for the month it was generated. When closing the contract, the total charges would be reduced by the total amount of the monthly billings as well as the amount due showing only what was due after the monthly payments have been deducted. The Daily_Business_Report (DBR) should reflect the monthly revenue entries and payments while the contract is open, and the remainder on the DBR for the date the contract is closed.


Options

Messages – These three drop-down lists allow you to choose invoice messageInvoice_Receipt_Messages lines to be printed at the bottom of the page.
Print Receipts – Choose this option to print a contract receipt for each rollover contract.
Print Invoices – Choose this option to print an invoice for each rollover contract.
Currency – When using multiple currencies, you can choose the currency to use when printing amounts.


Data Selection

The contracts that the report selects are shown in the report’s browser. The contracts are selected by:

  • The contract is a rollover; rollover contracts are flagged as such on the Contract Sales ScreenContract_Sales_Screen by checking off the "Rollover" box.
  • The contract’s product is selected in the Product list.
  • The contract’s location out is selected in the Reporting lists.
  • The contract is open.
  • The contract’s next billing date is before the report’s cutoff date, or the next billing date is blank.
