Purpose
Using the local fuel price, RentWorks can automatically calculate a fuel price for when you want to charge by the mile instead of fuel usage. It can also automatically calculate a prepaid fuel price. Instead of having to go to several screens whenever there is a change in fuel price, use this one screen. However, you must first follow these steps:
- Add at least one Fuel Type record in Settings - Fleet Setup - Fuel Types.
- Add one Miscellaneous Charge record with a type of Fuel, but leave the amount field at zero.
- If you sell Prepaid Fuel, enter one Miscellaneous Charge record with a type of Prepaid Fuel, but leave the amount field at zero. The Code field in the Miscellaneous Charge record must match the Fuel Type field in the Fuel Types record. This is done so other data, such as limits and applicable taxes, can be determined when adding a fuel charge to a reservation or rental agreement.
- Access this Location Fuel Pricing screen and create at least one record.
Fields
Fuel Type - Select the desired Fuel Type.
Location - Use the drop-down menu to select a Location or leave blank if this record will apply to all locations.
Local Fuel Price - Enter the amount of the local fuel price.
Fuel By Quantity/ Distance - If desired, set the amount to charge for fuel by the miles driven (instead of the fuel gauge). You can use the Markup fields and/or add a service charge for performing refueling.
Prepaid Fuel - If desired, set the amount to charge for prepaid fuel by using the Discount fields.
