The Loaner Rental Entry screen allows for quick entry of loaner agreements. You can access this screen from the Rez Planner, and you can honor reservations by searching for open reservations upon entering the Loaner Rental Entry screen.

Once the loaner agreement has been created, the Counter screens are used for modifying/closing the agreement.

''Name & Address Info''

Last Name – The renter’s last name. Use the binocular lookup to search for an existing renter. Use the ‘book’ button to view the renter’s rental history.

First – The renter’s first name. Use the Clear button next to this field to select a different renter.

E-Mail – The renter’s e-mail address.

Address – The first line of the renter’s address.

Address (2) – The second line of the renter’s address.

City – City where the renter resides.

St – State in which the renter resides.

Zip – Renter’s Zip Code. This field uses the [[Smart Zip]] Lookup.

Home Ph. – The renter’s home phone number. 

Mobile – The renter’s cell phone number.

DL# – Driver license number of the renter. Use the button next to this field to import a driver license scan.

St. – State that issued driver license. 

Exp. – The date on which the driver license expires.

DOB – The renter’s date of birth.

Ins. Co. – The renter’s insurance company.

Policy# – The renter’s insurance policy number.

Exp. Date – The insurance policy’s expiration date.  A warning will appear if the insurance policy date has expired, or will expire during the rental.


''Pickup Information''

Loc Out – The location from which the vehicle was picked up.

Date/Time – The date and time when the vehicle was picked up.

Loc Due – The location that the vehicle will be returned to.

Date/Time – The date and time when the vehicle will be returned.


''Vehicle Information''

Product – The vehicle’s product code.

Class – The vehicle’s class.

Unit# – The vehicle’s unit number. Type the unit number in this field or use the binocular lookup.

Fuel Level – The current fuel level of the vehicle.

Odometer – The vehicle’s current odometer.

''Rate Info''

Rate Code – The time and mileage rate code. Either enter a rate code in this field or click on the binocular lookup. 

Description – The rate description.

Rate/Day – The rate per day.

 
 
''Deposit Information''

Pay Type – The type of payment.

CC# – Credit card number. Click the button next to this field to default the credit card information associated with the renter.

Exp – Credit card expiration date.

NOTE: If you activate Custom Feature A1103, you can define a default deposit amount based on the rate code.  The value field contains the rate code and deposit amount, comma-delimited.  Multiple rate/amount pairs can be entered, pipe-delimited.



''Service Information''

Service Ord. # – The service order number for this loaner agreement.

Source – Choose the loaner source code in this drop-down list. The value is automatically selected based on the default loaner source in [[System Settings]].

Dealership/Advisor – Choose the appropriate dealership and advisor for this agreement. The dealerships and advisors are set up in Source [[Referrals]].


 
''Credit Card Information''

If you wish to secure the transaction with the driver's credit card information, select a Card type and enter the credit card number and expiration date.
